Executive Service Corps' Confidential Information Policy

Confidentiality Statement

The data that the Executive Service Corps collects from client personnel through interviews, questionnaires, and other means is often of a highly confidential nature. It is the Executive Service Corps' expectation that consultants will adhere to high standards regarding confidentiality. The Executive Service Corps Statement of Professional Standards says:

Executive Service Corps volunteers and staff are expected to maintain the confidentiality of client information. Confidential information, such as information gathered and reports prepared, should only be disclosed to others with permission from the client.

To help assure our credibility and reliability in that regard, the Executive Service Corps team has adopted information control procedures to assure that confidential information will not be made available, deliberately or inadvertently, to any client or outside personnel other than those for whom it is intended.

These procedures include the following:

  • Restricting reports and notes of the interviews only to the team member conducting the interview and the Project Manager.

  • Team members will keep hard copy materials in separate files in a safe location.

  • Computer files will be labeled with an unmistakable file name containing the word “confidential,” and stored in a computer directory separate from other working files for the project.

  • No confidential information will be kept on a laptop or in hard copy materials brought to the client.

  • As a matter of standard procedure, team members will preview any attachments to emails before sending them.

  • Discussions between the Project Manager and any team member regarding any confidential material will be held only in private locations.
